Customer Relations Representative : PART-TIME


Position Title: Information Systems Manager
Department: Administration
Reports to: Director, Business Operations
FLSA Status: Exempt 

JOB PURPOSE AND REPORTING STRUCTURE: Under the direction of the Director, Business Operations, the Information Systems Manager provides the best possible technology support for the organization by taking responsibility for all aspects of the 45+ user-Windows workstations, printers, network, and supporting hardware and software, keeping systems up and running during office hours as much as possible.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
--Research, purchase, install, maintain, track and upgrade existing hardware, software, and network.

  • Develop and review annual budget for system hardware, software, supplies, support and maintenance contracts. Track actual invoices against budget. Proactively track inventory and hardware depreciation/write-off. Manage disposal of retired items.
  • Solicit bids and make recommendations regarding the most cost-effective hardware and software purchases.  Maintain stock of computer supplies.  Manage relationships with vendors. 
  • Build, operate, maintain servers for Domain Control, Exchange, OPAS, with associated processes.
  • Maintain hardware. Replace defective parts. Install new desktops and related hardware.
  • Maintain and monitor backups, including SQL Server database backups. Monitor space usage on servers and make adjustments as necessary.
  • Safeguard company and customer information. Create security practices and policies. Maintain security-related software (virus protection, adware scans, spam filter). Assist staff with security rights, including establishing and removing logins to system, network and applications. (Note: Company website currently maintained by outside vendors through relationships with Marketing and Operations departments.)
  • Operate Cloud based Phone System. Add, edit and delete users, groups and Auto-Attendant menus; work with Vendor on maintenance issues.

--Be aware of users' needs. Be alert to and diagnose system and user problems

  • Be proficient in the use of Windows 7, 10 and Server Operating Systems, MS Office (Word, Excel, and Access), Exchange/Outlook/ActiveSync, internet browsers (Internet Explorer, Chrome and Firefox), diagnostic and other general software. Be familiar with Apple laptops and MAC OS as well as Microsoft Office for MAC. Be familiar with Virtual machines.Become familiar with company specific packages such as Tessitura, OPAS and Great Plains. Train and assist KCS staff in the operation of both hardware and software. Help users with the Mail application on their cell phone.
  • Stay abreast of technology changes. Develop and update long range plans to keep systems current.
  • Responsible for prompt, accurate and efficient response to users’ data requests.
  • Optimize resources (hardware space, user licenses, not-for-profit pricing). Proactively educate users on efficient technology usage.

--Be proficient in the use of the telephone system. Train employees as needed in its use. Arrange for maintenance and upgrades as needed. Research new products and services and recommend changes for more efficient and effective communications, maintaining contact with the service provider to be aware of new technology.

--Solicit bids and make recommendations for major electronic equipment expenditures; e.g., photocopiers, fax machines, etc. Manage the installation and training on new equipment.

SUPERVISORY RESPONSIBILITIES: This position is assistive and coordinative in nature and does not have direct supervisory responsibility. 

CONTACTS WITH OTHERS: This position has contact with staff, vendors, Board members, committee members and consultants.

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION AND/OR EXPERIENCE: This position requires a Bachelor of Science Degree in Information Systems or related discipline and experience in Windows and systems/network administration as well as experience with hardware and software implementation. Education or experience in box office operations or symphony orchestra management a plus.

LANGUAGE SKILLS: Excellent verbal and written communication skills are required.

MATHEMATICAL SKILLS: This position requires advanced math skills.

REASONING ABILITY: Excellent analytical skills are required. Need to be able to determine what problems can be fixed within the realm of this job vs. those which need to be escalated to application consultants.

EQUIPMENT REQUIRED: This position is required to use a computer and associated software, network servers and peripherals, computer printer, calculator, photocopier, fax machine, telephone, voice mail and postage meter.

CERTIFICATES OR LICENSES REQUIRED: None.

OTHER SKILLS AND ABILITIES: This position requires the incumbent to be well-organized with an ability to pay attention to detail. Must have mechanical ability and manual dexterity.

VISION REQUIREMENTS: Must be able to see near and far as well as adjust focus.

PHYSICAL DEMANDS: Ability to sit at a computer screen for prolonged periods and to climb stairs is required. Ability to carry boxes of computer supplies, brochures, signs of no more than 25 pounds is also necessary.

WORK ENVIRONMENT: Must be able to work in varied locations: office environment, telephone sales room, concert lobby/backstage/ticket office; tolerate varied temperatures and noise levels; and, have the ability to concentrate on computer tasks within a noisy environment.

Position Title: Customer Relations Representative
Department: Box Office
Type: PART-TIME

We are looking for energetic and helpful part-time customer service agents to fulfill Symphony ticket orders over the phone and in person. Hard working, positive and friendly people should apply. Good keyboard skills, flexible availability and musical knowledge are preferred.
